Reports
Open Reports in the sidebar for every report across your projects, with channel, date, and content. Filter by super, channel, or date range. Open a single report to see:- Structured sections — work performed, workforce, materials, issues, delays, inspections, safety, weather, and photos. SiteSuper extracts these from the conversation automatically.
- Raw transcript — the full text of the call or message.
- Recording — for phone reports, the call audio.
- Photos — images sent over WhatsApp are captured and shown inline.
Export to Word
Any report can be downloaded as a formatted Word (.docx) document for sharing or filing.
How reports arrive
SiteSuper captures reports from every channel:- Phone — the AI agent has a natural conversation; the transcript is parsed after the call.
- SMS — inbound texts are parsed by AI into a report.
- WhatsApp — text and voice messages (transcribed) and photos.
- Email — supers reply to a report-request email or send to their project ingest email.
- Web — the super’s public report link.

A report is the structured result of a conversation. To read the full back-and-forth across phone, SMS, WhatsApp, and email — recordings, transcripts, and photos included — open the Inbox.
“Needs project.” Every report is tied to one project. In the rare case a report from a super who works multiple projects arrives without enough context to tell which job it’s for (e.g. an unprompted text), SiteSuper will not guess — it marks the report Needs project in the Reports list with an Assign to project picker. Choosing the project files it and runs variance detection. (Scheduled reports and replies to an outreach are attributed automatically.)
Activity feed
The Activity item in the sidebar (on the Dashboard) shows escalations, SLA breaches, and assignments, with an unread badge in the nav. Click an item to jump straight to what needs attention.Variances
A variance is an issue the AI detects from reports — progress behind schedule, a missed task or inspection, an open RFI impact, a material shortfall. Find them under a project’s Variances and Outcomes. Each variance can run an automated follow-up chain — e.g. message the responsible trade, wait, escalate to a manager. As a manager you can:- Resolve or dismiss a variance.
- Use chain controls to skip, jump to, re-run, pause, or resume the automated steps mid-run.
